REFUND & CANCELLATION POLICY

This Refund & Cancellation Policy applies to all services, programs, bookings, subscriptions, and product purchases provided by XELAR Motorsport FZ-LLC (“the Company”).
By enrolling in any program or making any payment, the Participant and/or legal guardian agrees to this policy.
1. GENERAL POLICY
All payments made to XELAR Motorsport are non-refundable unless explicitly stated otherwise in writing.
Motorsport programs require advance planning, technical preparation, and operational allocation. Therefore, refunds are strictly limited.
2. TWO-STROKE CHAMPIONSHIP PROGRAMS
2.1 Upfront Payment
The initial 50% program payment is non-refundable.
2.2 Remaining Balance
If a Participant withdraws before completion of the program:
- The remaining balance remains payable.
- Withdrawal does not release financial obligation.
2.3 Championship Fees
Championship entry fees, tyres, transponders, engine rebuilds, and race consumables are non-refundable once ordered or registered.
3. SWS FOUR-STROKE PROGRAM
3.1 Monthly Subscription
- Minimum commitment: five (5) months during season.
- Monthly payments are non-refundable.
3.2 Cancellation
Early termination does not cancel outstanding subscription obligations within the minimum commitment period.
3.3 Late Payments
The Company reserves the right to suspend participation until payment is settled.
4. DRIVER PERFORMANCE ASSESSMENTS & TESTING SESSIONS
4.1 Cancellation Notice
- Minimum 24-hour notice required for cancellation or rescheduling.
- Cancellations within 24 hours are non-refundable.
4.2 No-Show Policy
Failure to attend a booked session without prior notice results in forfeiture of payment.
4.3 Track Closure or Force Majeure
If sessions are cancelled due to:
- Track unavailability
- Weather
- Government restrictions
- Operational constraints
The Company may reschedule the session. No cash refunds shall apply.
5. DAMAGE & CONSUMABLES
Payments for crash damage, replacement parts, race tyres, and consumables are strictly non-refundable once installed or ordered.
6. ONLINE STORE & PRODUCT SALES
6.1 Kart & Equipment Deposits
Deposits on karts or special-order items are non-refundable unless otherwise agreed in writing.
6.2 Spare Parts & Components
Spare parts and components are non-refundable once installed, used, or removed from packaging.
6.3 Manufacturer Defects
Product defects are subject to manufacturer warranty policies.
7. MEDICAL WITHDRAWAL
In case of injury or medical incapacity:
- No automatic refund shall apply.
- The Company may, at its sole discretion, offer program credit or deferment.
8. TERMINATION BY THE COMPANY
If the Company terminates a Participant for:
- Misconduct
- Code of Conduct violations
- Safety breaches
- Non-payment
No refund shall be issued.
9. FORCE MAJEURE
The Company shall not be liable for refund obligations due to:
- Championship cancellations
- Track closures
- Government restrictions
- War
- Mechanical failure
- Weather events
